Clock In & Clock Out (Attendance Tracking)
When to use: Every day when you arrive at work and when you leave.
How to Clock In (Arrival)
Step-by-step
- Go to Time & Attendance → Clock In/Out
- Click Clock In when you arrive at work
- On web: Allow the browser to access your location (GPS)
- On mobile: Make sure you're connected to the company WiFi before clocking in
- The system records your arrival time
Result
You'll see a message showing your arrival time recorded. It appears in your daily attendance record.
How to Clock Out (Departure)
Step-by-step
- Go to Time & Attendance → Clock In/Out
- Click Clock Out when you leave work
- On web: Allow the browser to access your location (GPS)
- On mobile: Make sure you're still on company WiFi
- The system records your departure time
Result
The system now knows when you left the office. This completes your attendance for that day.
Understanding Attendance Status
Each day at work shows a status that tells you what kind of day it was. Here are the common ones:
Status Types
Normal Work Days:
- WORK - You clocked in and out normally
- LATE_EARLY - You arrived late or left early (with a request submitted)
Days Off:
- WEEKEND - Saturday or Sunday (not a work day)
- HOLIDAY - Company holiday or public holiday
- LEAVE - You had approved time off
Missing Clock:
- ABSENT - You didn't clock in or out
- FORGOT_CLOCK_IN - System detected you didn't clock in but you were working
- NOT_EMPLOYED - This status appears as a dash (-) - This means the system doesn't have your employment information for that date (you may not have been employed yet, or employment ended)
Special Status:
- FUTURE - The date is in the future (shows as a dash -)
What Does the "NOT_EMPLOYED" Status Mean?
When You See a Dash (-)
If a date in your calendar shows a dash (-) instead of a status:
It means: The system doesn't recognize you as an active employee for that date
This can happen:
- Before your start date - You weren't employed yet
- After your employment ended - You left the company
- During a leave of absence - You're temporarily not active
- Data issue - Missing employment information in the system
What You Should Do
If you see dashes (-) for dates when you WERE working:
- Check your employment dates - Ask HR if your start/end dates are correct
- Contact your HR team - Report that your dates seem wrong
- Don't worry about clocking in - If the system shows NOT_EMPLOYED, you likely can't clock in anyway
Troubleshooting
"I get an 'outside office zone' error"
This means: The GPS shows you're not near the office
How to fix it:
- Move to the office location (GPS location check)
- Make sure you're close to the office building
- Check that your phone's location is turned on and accurate
"I can't clock in on mobile"
Check:
- Are you connected to company WiFi? (Some companies use WiFi instead of GPS)
- Is your phone's location turned on?
- Is the app allowed to access your location? (Check phone settings)
If still not working:
- Try clocking in on a computer/web version instead
- Ask your IT team to check if your phone is registered
"I already have an approved 'Remote Work' request today"
Good news: If you have approved remote work for that day, you can:
- Clock in and out without needing GPS or WiFi
- Be anywhere in the world
- Just use the app normally
"I forgot to clock in (or out)"
What happens:
- Your manager or HR can see you forgot
- System may mark it as FORGOT_CLOCK_IN
- You can request a correction
How to fix it:
- Ask your manager or HR team to help
- Or submit a leave request with type "Attendance Correction"
- Provide the time you actually arrived/left
- They'll review and update your record
"I clocked in/out but it's not showing"
Wait a moment - The system sometimes takes a few seconds to update
If it still doesn't show after 1 minute:
- Refresh the page
- Try logging out and back in
- Contact IT if the problem continues
Daily Attendance Calendar View
What You See Each Month
On the dashboard, you can see a calendar showing:
- Your clock in and out times
- Your attendance status for each day (WORK, LEAVE, WEEKEND, etc.)
- Special symbols for different types of days
Color Codes
Different statuses may have different colors to help you quickly understand your attendance:
- Green - Normal work day
- Blue - Day off / Weekend
- Yellow - Partial day / Late/Early
- Red - Absent or issue
Tips for Smooth Attendance Tracking
✓ Clock in immediately when you arrive - Don't wait
✓ Clock out before you leave - Don't forget at the end of the day
✓ Enable location permissions - Give the app access to GPS
✓ Connect to company WiFi on mobile - Check with IT if needed
✓ Report problems early - Don't wait weeks to fix clocking issues
✓ Keep your start date updated - Make sure HR has your correct employment dates
Working Remotely
If You Have Approved Remote Work
You can:
- Clock in and out from anywhere
- Don't need GPS or WiFi
- Just use the app normally
If You DON'T Have Approved Remote Work
You should:
- Be at the office to clock in/out
- Use the office GPS/WiFi
- Request remote work if you need to work from home
